What you get for free

Before the call, we check

  1. Call response time

We call during business hours and time how long it takes to reach a person or get a callback.

  2. After-hours calls

We call after hours and see what a customer gets: a voicemail, a callback, a text, or nothing.

  3. Your contact form

We send a message through your website and time the first reply.

  4. Website load time

How fast your site opens on a phone, and whether customers can tap to call or book online.

  5. Google reviews

Your rating, how recent your reviews are, and what unhappy customers keep mentioning.

  6. Three local competitors

How you compare with three companies in your trade and town.

On the call

  1. 30 minutes with a developer

The person who would build it, not a salesperson. We map how work moves through your company.

  2. Where time and money leak

Calls, paperwork, scheduling and billing, and which leaks cost the most.

In your Consultation Report, within a week

  1. Your free custom roadmap

What to do first, next and later with AI, written for your company.

  2. The changes worth making

The two or three that matter most, and what each one pays back.

  3. What you already own

AI features in software you already pay for, and how to switch them on.

  4. What to skip

Tools and subscriptions that are not worth it, even if that means you need nothing from us.

Getting ready for the call

Thirty minutes on Zoom or Google Meet. We map how work moves through your company: calls, jobs, paperwork, numbers. If you can, have your phone system, your job software and last month’s numbers open.

A notetaker joins so Joseph can write the report instead of typing. Say the word and it leaves.

The Consultation Report

Two pages, yours to keep: a map of how the work flows and where it leaks, the two or three changes worth making with what each costs and what it pays back, and what to skip. If a cheaper option fits better, or nothing we build does, the report says so.

If you want to go further, every change comes with a fixed quote, and most are live in one to four weeks, on the same terms as everything else here: your accounts, the manual, a first month where we run it with you, and deployed, or every dollar back.

A worked example

Below is the report for a fictional two-truck HVAC company. Every name and figure is invented, to show what you get. Prices are left out because every real quote is written for one company.

Worked example, not a real client. Every name and figure is invented.

Consultation Report

Ridgeline Heating and Air: where the calls, the paperwork and the money go.

Prepared for Dan Ridgeline, owner. Two trucks, one technician, one office manager.

What we heard

About 25calls a day in summer
About 6go to voicemail while both trucks are out
3 hoursof invoicing every Friday

The map

Calls

Ads and referrals ring Dan’s cell or the office line. When both trucks are out, voicemail. Leak: the callback happens that night, and half of those callers have already booked someone else.

Paperwork

Job sheets ride in the trucks all week and become invoices on Friday. Leak: about one in five is missing a part or a time, so the invoice waits and so does the money.

Money

Ads run every day. The cost of each job is only known at month end. Leak: a campaign that stops working keeps spending for weeks.

The changes worth making

Text back every missed call.

The problem
About six calls a day reach voicemail in peak season while both trucks are out.
What it does
Missed-Call Text-Back texts every missed caller within seconds from the number Dan already advertises, gets the address, the problem and a good time, and never quotes a price.
What it costs
A fixed price in the real report, plus text-message fees on Dan’s own account: a few dollars a week at this volume.
What it pays back
If one in four of those callers becomes a job, that is seven or eight extra jobs a week in peak season. Installed in about two weeks.

Invoices from the truck, not from Friday.

The problem
Karen spends about three hours every Friday turning paper job sheets into invoices, and chases the missing ones into the next week.
What it does
Document Intake reads a phone photo of each job sheet the day the job is done, fills in the invoice, and holds anything unclear for Karen to check.
What it costs
A fixed price in the real report.
What it pays back
Friday mornings back, and invoices out days sooner, so the money comes in sooner.

What to skip

Next step

A fixed quote for the text-back first, live about two weeks after the accounts are set up. Deployed, or every dollar back.
